Cancellation/Substitution/Refund Policy:
Registration cancellation and substitution must be made in writing to IREC Vision Summit 2022 via emai: michelleb@irecusa.org


In-Person Event Refund Policy:
If you register for the in-person event and must cancel your registration, all cancellations MUST be submitted in writing to Michelle Barrett, michelleb@irecusa.org. Telephone requests WILL NOT be honored.

Cancellations received 60 days prior to the start of the onsite event, will incur a $35.00 administrative fee. Cancellations received between 14 and 3 days prior to the start of the event will be eligible for a 50% refund of the paid amount. Cancellations received 3 days or less prior to the event will not be eligible for a refund.

Substitutions are allowed by individuals within the same institution/company and must be made in writing to IREC Vision Summit 2022 via email: michelleb@irecusa.org prior to the start of the event.  No substitutions onsite will be accepted.

You may also transfer your registration for the virtual event. Transferring to the virtual event must be made in writing to IREC Vision Summit 2022 via email: michelleb@irecusa.org.


All refunds will be processed after the event has concluded.

Cancellations received less than three (3) days prior to the virtual event will not be eligible for a refund.

Photography, Audio, and Video Recording Permissions
By registering for or otherwise participating in an IREC Vision Summit, I hereby grant Interstate Renewable Energy Council (“IREC”), and anyone authorized by IREC, permission to (a) photograph, capture, and record me (in any media), whether in person or via screen capture or other technology; (b) edit and modify any resulting photographs, recordings or other media or materials (collectively the "Materials"); and (c) exhibit, distribute, publish, and otherwise use such Materials, in whole or in part, and my name, voice, image, and likeness as captured therein, in any manner or media and for any purpose whatsoever in connection with IREC and its events, programs, activities, products, and services. Such use will include, without limitation, use by IREC or any third parties in diverse educational settings, as well as use for publicity, promotion, advertising, trade, educational, business, or other purposes of any kind. I waive any right to inspect or approve the Materials or any use thereof and hereby release and discharge IREC and agents, employees and assigns, and anyone acting under their authorization, from any claims that such use as authorized herein violates any of my rights. I understand and agree that IREC will own all rights of any kind in the Materials, and that I will retain no rights therein. I further understand and agree that I will not be entitled to any compensation or payment of any kind for the permission and release granted herein, or for the use of any of the Materials or of my name, voice, image, and likeness as authorized herein. All rights and releases are worldwide, fully sublicensable and assignable, and irrevocable, so that you may proceed in reliance thereon.

EVENT PROTOCOLS
IREC will adhere to and reserves the right to exceed the recommended guidelines set forth by the Centers for Disease Control and Prevention (CDC) and the District of Columbia to facilitate a safe event.  
 
CHANGE IS CONSTANT:
Our team is continually reviewing these guidelines therefore, new requirements may be in place upon arrival at the event, and we will communicate any changes at least 5 days in advance of the event. Your health and well-being will remain our number one priority.
 
VACCINATIONS:
IREC is firmly committed to the health and safety of our event attendees. All in-person event participants will be required to show proof of vaccination to register for and attend the event.  
 
Acceptable vaccines include:

  • Any COVID-19 vaccine authorized for emergency use or approved by the U.S. Food and Drug Administration (FDA)
    • Pfizer/BioNTech
    • Moderna
    • Johnson & Johnson/Janssen
  • Any COVID-19 vaccine authorized for emergency use by the World Health Organization (WHO)
    • AstraZeneca/Oxford
    • Sinopharm-BBIBP
    • Sinovac
    • Covishield
  • Any active COVID-19 vaccine used during a U.S.-based clinical trial
    • Novavax

All other COVID-19 vaccines, including Sputnik V, Sputnik Light, Covaxin, and Sinopharm-WIBP are not acceptable. Mixed COVID-19 vaccine schedules of authorized vaccines to establish full vaccination status are acceptable.

FACE MASKS:
While a formal mask mandate may not be in place at the time of the event, face coverings will be required for all in-person event participants regardless of their vaccination status. Acceptable face coverings must fit properly and snugly, fully covering your nose and mouth, and secure under your chin. Face coverings with exhalation valves, bandanas, and neck gaiters are not permitted. Note that speakers at this event may remove their masks during their scheduled presentation and participants may remove masks when eating and drinking. If you forget your mask, we will have one available for you at the registration desk. 

ADDITIONAL SAFETY PROTOCOLS:
 
We want you to feel comfortable while attending our in-person event. To ensure the health and safety of our attendees here is what we’re doing:

  • Hand sanitizer will be available in the common areas and hand washing stations in the restrooms at the event venue.
  • Event spaces will be set up in compliance with the current social distancing and capacity guidelines to ensure you can participate safely.
  • Guests are asked to engage in appropriate social distancing and be respectful of all other attendees and their comfort levels.
  • The event venue has implemented a wide range of health and safety measures.
  • The event venue retains the right to prevent any persons entering the venue who are actively presenting flu-like symptoms, including group staff and attendees.

SOCIAL DISTANCING:
If you prefer for attendees to maintain physical distance from you, we will be providing stickers (colorful smiley faces) that you can add to your badge to indicate this. Please be conscious and respectful of other attendees' preferences regarding social distancing.

HEALTH & SAFETY ACKNOWLEDGEMENT:
All in-person participants are expected to follow local and facility guidelines as well as travel safety guidelines when using ground and air transportation en route to the event.
 
Please be advised that the risk of exposure to COVID-19 exists in any event or public space, including IREC Vision Summit. Prior to purchasing a ticket for and attending IREC Vision Summit, we encourage you to read the latest CDC Guidelines for Prevention.
 
BEFORE YOU ARRIVE:

  • Stay home if you are sick. If you or someone you have been in close contact with has or is experiencing any symptoms of COVID-19, do not attend the event. Please reach out to michelleb@irecusa.org to obtain a refund.
  • Don’t forget your mask. Wearing a mask that covers your nose and mouth is required (regardless of vaccination status) at our event. If you forget one, we will have one available for you at the registration desk.
